Privacy Policy — AO Platform
What data we collect, why, and how we keep it.
1. Data controller
The controller of your personal data is Soft Dev Oy, Business ID (Y-tunnus) 3335497-2, Riihenmäentie 7, 04600 Mäntsälä, Finland. AO Platform (axis-ordo.com and platform.axis-ordo.com) is a product of Soft Dev Oy. Contact for privacy questions: support@softdev.fi.
2. What data we collect
Account data: email, name, company, country and VAT number. Order and payment data: package, term, amounts, invoices; card details are handled by the payment provider, not by us. Usage data: sign-ins, actions in the workspace, AI usage amounts and technical logs. Messages you send us through the contact form. Content you upload or create in your workspace.
3. Why we process data
To create and run your account and provide the Platform (performance of contract). To take payments, issue invoices and keep accounting records (legal obligation). To keep the service secure and prevent abuse (legitimate interest). To answer your messages (legitimate interest or your request). We do not sell your data and do not use it for advertising.
4. AI processing
When agents work, your request and the materials needed for it are sent to AI model providers to get an answer. We do not store the bodies of AI requests and answers beyond what is needed to provide the service; we keep only usage amounts for billing. AI providers receive the data only to produce the answer, under their terms for business API use.
5. Who receives data
We use service providers that process data on our behalf: hosting in the EU (Hetzner), payment providers (Stripe, PayPal, CoinGate), AI model providers, and email delivery. Some providers may process data outside the EU; in that case we rely on EU standard contractual clauses or another lawful safeguard. We disclose data to authorities only when the law requires it.
6. Cookies
The site uses only essential cookies: they remember your language and your choice in the cookie banner. We do not use advertising or tracking cookies. The Platform uses a sign-in cookie to keep you logged in.
7. How long we keep data
Account and workspace data — while your account is active and for up to 90 days after it is closed. Invoices and accounting records — as long as Finnish accounting law requires (generally 6 to 10 years). Contact form messages — up to 2 years. Security logs — up to 12 months.
8. Your rights
You have the right to access your data, correct it, delete it, restrict or object to its processing, and receive it in a portable format. Where processing is based on consent, you can withdraw consent at any time. To use your rights, write to support@softdev.fi. We answer within one month.
9. Security
Data is stored in the EU, transferred over encrypted connections and accessible only to staff who need it for their work. Access to the Platform is by one-time codes sent to your email.
10. Complaints and changes
If you believe we process your data unlawfully, you can complain to the Finnish Data Protection Ombudsman (tietosuoja.fi) or the authority of your country. We may update this Policy; the new version applies from the date shown on it.
